One Cleaner for a Split Professional Suite on Cross Street

This is a worked example rather than a report on named clients. It covers a 260 square metre first-floor suite on Cross Street in Double Bay NSW 2028 shared by three tenants, each with their own cleaner — an arrangement where the parts nobody was asked to clean are the parts everybody uses. What follows is how we consolidate a suite like this. No client outcome is claimed.

The situation: one door, three contracts

Picture a financial advisory practice at the front, an allied health provider with two consulting rooms along the eastern wall, and a small serviced-office operator subletting four private offices at the rear — sharing one entrance, one kitchen and one set of bathrooms, each with a separately engaged cleaner. That arrangement produces a predictable set of problems:

How we rebuild it: one agreement, three zones

  • A single agreement signed with the head lessee, with an agreed cost split by occupied area across the three tenants and one monthly invoice
  • The written scope divided into three zones — clinical, general office and shared amenity — with a stated frequency against every line
  • Consulting rooms moved onto clinical protocol: dedicated colour-coded equipment that never leaves the zone, TGA-listed hospital-grade disinfectant at full labelled dwell time on couches, benches, trolleys and touch points, and a signed room-by-room log
  • Shared kitchen and bathrooms explicitly owned by the contract and cleaned every attendance, with consumables managed so the suite stops running out on a Monday
  • One key under a signed register, one alarm code, one named crew, and a documented entry and exit log the building manager can see
  • Clean-desk protocol across the advisory and serviced offices: papers never moved, screens never touched, nothing read or photographed, with confidentiality undertakings signed by the crew
  • Round scheduled from 6pm, after the last appointment, and finished before the building alarm arming window

What the tenants get in writing

One agreement with the head lessee, one written three-zone scope with a frequency against every line, and one monthly invoice split by occupied area. Signed room-by-room logs for the clinical zone that the allied health provider can file as environmental cleaning evidence, and a monthly photo audit to the building manager.
